## Setup

### What should I set up first?

Follow this order: business settings → [locations](https://docs.smartposhub.com/start/locations/) → [import prebuilt](https://docs.smartposhub.com/catalog/import-prebuilt/) lists (categories, brands, units, tax rates) → products from the [Product Library](https://docs.smartposhub.com/catalog/product-library/) or your own → [opening stock](https://docs.smartposhub.com/catalog/opening-stock/) → [users and roles](https://docs.smartposhub.com/start/users-and-roles/) → a test sale. The [go-live checklist](https://docs.smartposhub.com/start/go-live-checklist/) walks you through it, and each business type has its own path under **Setup by business type**, for example the [mart](https://docs.smartposhub.com/business-types/mart/overview/) or [restaurant](https://docs.smartposhub.com/business-types/restaurant/overview/) guide.

### How do I add a second shop or a warehouse?

Open **Settings › Business Locations** and click **Add**. Every location has its own stock, can have its own prices and invoice numbers, and staff only see the locations you allow. See [Add and manage multiple locations](https://docs.smartposhub.com/start/locations/).

### Do I have to type in all my products?

No. The **Product Library** has ready-made catalogs (grocery, pharmacy, electronics and more) with names, barcodes and images that you import in bulk, then set your own prices. You can also [import from Excel or CSV](https://docs.smartposhub.com/catalog/import-products-excel/) or [add products one by one](https://docs.smartposhub.com/catalog/add-products/).

### What is "Import prebuilt"?

A button on lists such as categories, brands, units, tax rates, roles and printers that adds a ready-made starter list for your trade in one go. You can edit everything afterwards. See [Import prebuilt](https://docs.smartposhub.com/catalog/import-prebuilt/).

### Why can't I see a menu that a guide shows?

The feature must be in your **plan**, **switched on** in **Settings › Business Settings › Modules**, and allowed for your **role** in **User Management › Roles**. See [All modules and how to turn them on](https://docs.smartposhub.com/modules/).

## Selling

### POS V1 or POS V2: which should I use?

Both sell the same products and take the same payments. POS V2 is the newer full-screen layout with a product grid and shortcuts; POS V1 is the classic screen. Try **Try POS V2** in the POS top bar. See [POS V2 and how it compares](https://docs.smartposhub.com/selling/pos-v2/).

### Can a customer pay with cash and card on the same sale?

Yes. Press **Multiple Pay** and use **Add Payment Row** for each method. See [Payment methods](https://docs.smartposhub.com/selling/payment-methods/).

### Can I save a sale and finish it later?

Yes. **Suspend** parks a sale at the POS, a **Draft** keeps a sale you are still building (find it in **Sell › List Drafts**), and a **Quotation** gives the customer a price offer. See [Quotations, drafts and orders](https://docs.smartposhub.com/selling/quotations-drafts-and-orders/).

### How do I take a return?

Find the sale in **Sell › All sales** and choose **Actions › Sell Return** (or use the sell return button in the POS top bar), pick the items, then settle it as a refund, store credit, gift card or exchange. See [Returns and refunds](https://docs.smartposhub.com/selling/returns-and-refunds/).

### How do I close the till at the end of the day?

Close the cash register: count the cash, enter card and other totals and compare them with what the system expects. Then print the **Z Report** for the day and location. See [Cash register and closing](https://docs.smartposhub.com/selling/cash-register-and-closing/).

## Credit and part payments

### Can a customer take goods now and pay later?

Yes. Pick the customer at the POS and press **Credit Sale**. The sale is saved as **Due** on their account. **Walk-In Customer** can't buy on credit, so add the customer first. See [Credit sales and part payments](https://docs.smartposhub.com/selling/credit-and-partial-payments/).

### Can a customer pay 20 % now, 50 % later and the rest at the end?

Yes. Take the first part in **Multiple Pay**, then record each later amount with **Add payment** on the sale or on the customer page. The status moves from **Partial** to **Paid** with the last payment. The [credit sales guide](https://docs.smartposhub.com/selling/credit-and-partial-payments/) shows this exact example on every screen.

### How do I stop a customer from owing too much?

Set a **Credit Limit** and **Pay term** on the customer. A sale that would take them above the limit is refused with a message showing the numbers. See [Credit limits, pay terms and advances](https://docs.smartposhub.com/selling/customer-credit-limits-and-advances/).

### Where do I see everything a customer owes?

On the customer page (**Balance due** card) and in the customer's **Ledger** tab, which you can export to PDF and send. See [Customer ledger](https://docs.smartposhub.com/customers/customer-ledger/). Grocery stores call this the **khata**: see [Mart step 6: customer credit](https://docs.smartposhub.com/business-types/mart/step-6-customer-credit-khata/).

## Stock

### When does a purchase add stock?

Only when its **Purchase Status** is **Received**. **Ordered** and **Pending** purchases record the bill but don't change stock. See [Record a purchase](https://docs.smartposhub.com/inventory/purchases/).

### How do I move stock between shops?

Create a [stock transfer](https://docs.smartposhub.com/inventory/stock-transfers/). Stock leaves the sending location and arrives at the receiving one when the transfer is **Completed**.

### How do I record broken, expired or lost goods?

With a [stock adjustment](https://docs.smartposhub.com/inventory/stock-adjustments/). To check every shelf against the system, run a [stock count](https://docs.smartposhub.com/inventory/stock-counts/) with the SmartPOS Business app.

### Can I track expiry dates, batches and IMEI numbers?

Yes. See [Expiry and batches](https://docs.smartposhub.com/inventory/expiry-and-batches/) for medicines and food, and [IMEI, serial and lot numbers](https://docs.smartposhub.com/inventory/serial-imei-and-lots/) for phones and appliances.

## Mobile apps

### Which apps are there?

- **SmartPOS Business** for you and your staff: sell, scan, take payments, manage stock and customers, chat with shoppers, work offline. [Get it on Google Play](https://play.google.com/store/apps/details?id=com.smartposhub.business).
- **SmartPOS Shopper** for your customers: join your store, order, Scan & Go, show their store card, see receipts and balances, chat with you. [Get it on Google Play](https://play.google.com/store/apps/details?id=com.smartposhub.shopper).
- **SmartPOS Connect** turns a shop phone into a caller-ID and SMS gateway. It isn't on Google Play; [contact support](https://docs.smartposhub.com/help/contact-support/) to get it.

### Do staff need a different login for the app?

No. They sign in with the same username or e-mail and password as on the web. The owner first turns on the **Mobile app** module and chooses who can use it in **Settings › Mobile app**. See [Install and sign in](https://docs.smartposhub.com/business-app/install-and-sign-in/).

### A phone was lost. How do I sign it out?

Open **Settings › Mobile app** on the web, find it under the signed-in devices and sign it out. It stops working at once. See [Devices and security](https://docs.smartposhub.com/business-app/devices-and-security/).

## Selling online

### Can I have an online store?

Yes, with the **Website** module. Orders arrive in the same back office as your POS sales and use the same stock. See [Sell online: the overview](https://docs.smartposhub.com/online/overview/) and [Your online store](https://docs.smartposhub.com/online/online-store/).

### I already have a website. Can I sell on it?

Yes. Create a [shop widget](https://docs.smartposhub.com/online/widgets/), copy its code and paste it into your website. You can also share [direct order links and QR codes](https://docs.smartposhub.com/online/order-links-and-qr/).

### How do customers find my store in the Shopper app?

They scan your store QR poster, type your 6-character store code, open your join link, or find you in **Find stores**. See [Put your store in the Shopper app](https://docs.smartposhub.com/online/shopper-app-for-your-store/).

### Is there a chat widget for my website?

Customer chat runs in the SmartPOS Shopper app, and you answer from the web Inbox or the Business app. See [Chat with customers](https://docs.smartposhub.com/online/website-chat-and-app-chat/).

## Plans and billing

### Where do I see my plan and what it includes?

**Settings › Package Subscription** shows your plan, its end date, usage against limits and every module with **Included** or not. See [Subscription, plan limits and billing](https://docs.smartposhub.com/settings/subscription-and-billing/). Prices are on [smartposhub.com/pricing](https://smartposhub.com/pricing/).

### What happens when my plan ends?

You can still sign in and see your lists and reports, and your data is kept, but selling, purchases and new records pause until you renew.

### How do I redeem a lifetime-deal code?

Open **Settings › Redeem code** (or **Lifetime-deal codes** on the plan card), enter the code and click **Redeem**.

**Tip:**
Terms you don't recognise, such as *sub-unit*, *price group* or *cart code*, are explained in the [glossary](https://docs.smartposhub.com/help/glossary/).
